Minutes of Meeting ROTARY CLUB OF POONA DOWNTOWN Minutes of the 9th BOD Meeting Held on 16th March 2024, 2023, at Cedar Oak, Pune Club Present: Rtns Aruna Rathi, Zimra Israel, Sunil Holay, Shailendra Abhyankar, Bageshri Gogate, PNN Iyer, Shikha Mitra, Vinod Dua, Rajendra Nahar, Masarrat Tavawala Leave of absence: Rtns Yezdi Batliwala Sujata Malkani, Proceedings. President Aruna welcomed everyone. Minutes of the 8th BOD Meeting held on the 10th of February, were proposed to be adopted by Rtn Vinod Dua, seconded by. Rtn Bageshri Gogate and thereafter unanimously adopted by the Board. The directors presented their reports. A. Treasurer’s Report Rtn Sunil Holay presented Receipts and Payments accounts for the period ended 28th February 2024 for Trust, CSR and Club accounts. The balance in our Club and Trust accounts on 29 February were as follows: • HDFC Bank RCPD Charitable Trust Account no. 50100387746324-11,18,677.80/- • HDFC Bank – new FD no. 50300915384320 of Rs.30,00,000/- • HDFC Bank RCPD CSR Account- Rs. 38.10 • Bank of India RCPD Club Account –INR.1,12,318.14 /- & Flexi balance- 8,59,729.31/- • Sunshine Box collection -33,650/- B. Club Administration Vice President Rtn. Masarrat Tavawalla summed up the coming activities of the Club Administration as follows: • Programs are being well- managed by Ann Shereen Masters. • Occasional change of venue and some fun activities are being considered. • Annual Vocational Awards program is scheduled for 28th of March. • Need to boost RCPD’s presence on social media. C. Community Service Non-Medical Rtn. Bageshri Gogate reported: i. The Vocational Excellence Awards function will be held on the 28th of March 2024. ii. Vocational Guidance Program will be held on 27th March for 50 school children. PP Vikram Nabar and team met Colonel Uday Jagavkar, a certified career guidance coach, and discussed a feasible module. Our team is working out an impactful Vocational Guidance Program for 10th and 11th standard students. iii. PP Rajesh Gupta is taking the lead in the Anganwadi Project. He has identified four Anganwadis in and around Wagholi, has done the need assessment and is acquiring the required equipment. D. Public Image Rtn. Sujata was absent in the meeting. . E. Youth Service Director, Rtn. Shailendra reported 1. Our interactors from Sundarji Stars and our Inbound RYE students performed at our International Night on the 24th of February 2024. 2. DG Manjoo Phadke met with a few of our Rotaract Board Members during her visit to the club. She stressed the importance of prioritizing personal and professional development projects over service for the Rotaractors 3. Several Rotaractors and our RYE inbound student attended the tricycle donation event followed by a talk on 14th March 2024 meeting. F. Foundation TRF Director, tn. Yezdi Batliwala reported: 1. a. APF collection up to 23.03.2024 Rs. 19,74,401 - $23,979.06 2. b. Polio collection Rs. 10,000 - $ 120.48 c. CSR donation from Duroshox Pvt. Ltd. Rs. 31,42,000 - $37,855.42 for Radiation Center Global Grant d. Cow Donation Global Grant by members Rs. 1,05,000 - $ 1265.06 Total Giving for TRF for the year Rs. 52,36,401 - $63,220.02 3. The Global Grant GG2456879 “RCPD-Janaseva Foundation Vocational Skilling Centre”. a. Foreign partner District 9820 has approved a DDF of $ 5850 which is much more than the $1500 expected. b. We are in the process of receiving quotations for the equipment required for skilling. About 50% quotations are already received. c. We have received Letters of Confirmation from 8 companies who have agreed to give Internship to the students at the end of their training period. 4. From the Donation of Rs.30,00,000 (Rs. Thirty Lakhs Only) which was received from Rtn. Suresh Balani from USA: A – Pediatric Cardiac Surgeries – Rs. 20 Lakhs a. We have decided to tie up with Sanjeevani Hospital for doing the 23 Surgeries at Rs. 1.5 Lakhs each. b. The total Value of the Grant including DDF plus RI matching amount less 5% Support amount will be Rs. 33.94 lakhs which will enable us to do the 23 Surgeries. c. Rotary Club of Lancaster, USA will be partnering us as Notional Partners for this Grant. Just awaiting confirmation from their BoD by end of March 2024. B. Anganwadi Upgradation - Rs. 10 Lakhs a. Renovation of 4 Anganwadis is complete. b. Computing of expenses incurred is in process. Once completed, decision will be taken on how many more Anganwadis can be renovated. 5. The following Global and CSR Grant reports have been submitted and accepted by RI. a. GG 2119450 - Enhancing Ophthalmological Services at KEM Ankit Shirdi Sai Baba Rural Hospital, Vadu, Pune District Closure Report Submitted and accepted. The Grant has been closed Successfully. b. CSR Grant SC2300151 - SHRI BAHRI MALHOTRA RESIDENTIAL & VOCATIONAL TRAINING HOME FOR GIRLS Interim Report sent which has been accepted. Final Closing report will be sent before the end of the current Rotary year 2023-24. c. Report for the Dialysis Grant has also been sent by IPP Zimra. With the above 3 reports to RI all Grants of our Rotary Club of Poona Downtown are complete in all respects. G. Community Service Medical Director, Rtn. Vinod Dua reported: 1. In April RCPD will schedule two Eye checkup camps and at least one Dental checkup camp 2. One INALI automated prosthetic hands Camp is scheduled 24th-26th of March 2024 at Manipal, where about 300 fitments are expected 3. One more LN 4 Camp is scheduled on the 2nd of June 2024 at Lakhimpur, UP H. Membership and Strategic Planning, Director Rtn PNN Iyer raised the following Questions: 1. Why have the signatories of cheques & bank documents not been changed for over 2 yrs? 2. Why are signatories being asked to sign blank cheques? 3. Why isn't our FCRA account revived? 4. Why are we operating our Club's FCRA account through somebody else's account? 5. When the agenda clearly states that the reconciliation of all accounts will be discussed by the board, why were the statements not sent. They ought to have been sent at least one week in advance for all the Directors to analyse and satisfy themselves or raise queries. Treasurer Sunil and Club Auditor Rajendra Nahar replied to these queries as follows: 1. Signatories of the club account have been changed--- President Aruna, Secretary Shikha and Treasurer Sunil are the current signatories. Documents for change of signatories to the Trust Account were presented at HDFC Bank, but under the new stringent regulations for Trusts, the process of changing signatories was was found to be too cumbersome. 2. No one is asked to sign any blank cheques- proper procedure is followed for signing cheques. 3. The procedure for operating FCRA accounts is too cumbersome and expensive. After considering all the pros and cons it was decided to close it. 4. CECF have obtained permission to import LN4 hands through their FCRA account and are thereby supporting our LN4 project. 5. As requested by the directors statement of accounts will be sent to them a week before the BOD meeting. I. PP Rtn Zimra Israel reported : She had approached the PMC authorities and has been able to arrange a park space for the Sundarji School’s Autism Awareness Program. There being no further business the meeting was adjourned after a vote of thanks to the host Rtn Shailendra Abhyankar. The next BOD meeting will be hosted by Rtn Yezdi Batliwala, on 16th of April 2024 at his residence at 5.30 PM. After the meeting, BOD members and their spouses are cordially invited to stay for dinner.
